Team collaboration
Otnox is built for teams. Multiple people can work on the same project pipeline, assign responsibilities, and track each other's progress without meetings or status emails.
Assigning team members
Each project can be assigned to one or more team members:
- Open the project detail panel
- Click Assign and select team members from the dropdown
- Assigned members receive notifications about changes to the project
Assignments show as avatars on the kanban board cards, so everyone can see at a glance who is working on what.
Team roles
Otnox has a role-based permission system:
| Role | What they can do |
|---|---|
| Company Admin | Full access: manage team, billing, all projects |
| Manager | Create and manage projects, assign team members |
| User | Work on assigned projects, move stages, add notes |
| Viewer | Read-only access to projects and tenders |
Roles are assigned when inviting team members and can be changed later by the Company Admin from Settings > Team.
Shared notes and activity
Every project has a notes section where team members can leave comments:
- Strategy observations
- Buyer intelligence
- Questions for the team
- Links to external documents
All changes to a project — stage moves, assignments, note additions — appear in the activity log with timestamps and author names.
Use project notes to document your bid/no-bid rationale. This builds institutional knowledge over time and helps new team members understand your decision patterns.
Inviting new team members
Adding someone to your Otnox workspace is simple:
- Go to Settings > Team
- Click Invite member
- Copy the invite link and share it
- The person clicks the link, creates their account, and joins your workspace
There are no email invitations to wait for — the shareable link works immediately.
